Qualifications in Sailia let you track what staff are certified to teach and what customers have achieved. You can require qualifications to book a session, restrict who can instruct, and record certificate numbers as customers progress.

Set up your qualifications

Create the qualifications you issue

Go to Settings → Qualifications and create each qualification you award, train towards, or accept as a prerequisite. For example: RYA Stage 1 Sailing, RYA Powerboat Level 2, RYA Dinghy Instructor.

Use them on activities

When you create or edit a course, set:
  • Required staff qualifications — who can run the session, with an instructor-to-participant ratio (e.g. 1 RYA Start Windsurf Instructor per 6 participants).
  • Required customer qualifications — what a customer needs to hold before they can book.
Qualifications can be assigned to both customers and staff. The same record type is used everywhere — it makes staffing requirements and customer prerequisites consistent.

Adding qualifications to a customer

You can record a qualification on a customer’s profile in two places:
  • Register view on the bookings dashboard — at the end of a session, tick off who qualified and enter their certificate number.
  • Customer profile — open the customer, choose the family member, and add a qualification directly.
Once recorded, the qualification appears on the customer’s profile with the certificate number and the date it was awarded.

Recording certificate numbers

For courses that award a certificate (RYA, BCU, NPLQ, and others), you can record the certificate number when you log the qualification. This means:
  • You have an auditable record of who received which certificate
  • The certificate number is included on customer-facing emails and exports
  • You can search and filter for it later
To record a number:
  1. Open the register for the session on the bookings dashboard.
  2. Click the qualification awarded to a participant.
  3. Enter the certificate number and save.
You can also add a number after the fact from the customer’s profile.

Qualifications on staff

When a staff member has a qualification on their profile, Sailia can:
  • Show only qualified staff when you assign instructors to a session
  • Remind you when a session needs an instructor with a specific qualification
  • Help you avoid scheduling someone for a session they’re not certified to teach
Manage staff qualifications from Staff → [staff member] → Qualifications.

Restricting bookings by qualification

For activities with a required customer qualification, Sailia will:
  • Hide the activity from customers who don’t hold the qualification, or
  • Show the activity but block the booking until the qualification is added to the customer’s account
This is useful for progression pathways — for example, requiring Stage 1 Sailing before a customer can book Stage 2.
